An identity check, or simply ID check, is the most common check within DISA's check profiles. The identity of a (potential) employee is checked by examining a passport, ID card, or residence permit. DISA carries out identity checks at both the national and international levels for companies in Europe.

DISA quickly takes care of the verification of identity documents
The (potential) employee is asked to take a picture of the passport, ID card or residence permit via a secure QR code in DISA's International screening software. Through a secure connection, the identity document is immediately checked for authenticity features by Mitek, our ID verification partner.
Finally, DISA also offers an archive aimed at preserving various documents, including the identity document. DISA thus offers employers the opportunity to meet both the verification obligation and the preservation obligation in a fully digitised way.

In addition, Mitek inspects whether a passport or ID card appears in the VIS (Verification Identification System) and in the international KLPD and Interpol lists. These registers contain all documents previously reported as stolen or missing.

As an employer, you need to establish the identity of your employees and, in some cases, store a copy of the ID document. DISA uses the ID check to help you verify passports, ID cards, driving licences, or residence permits. Due to possible checks, the ID proof must be clearly legible, including the document number, passport photo, and social security number. Processing and verification of all these documents are secure with DISA.
ID check according to GDPR guidelines
In order to best comply with applicable privacy laws and regulations such as the General Data Protection Regulation (GDPR), the photo of the passport, ID card or residence permit is removed from DISA's system within 14 days after the ID check has been completed, unless your organisation used the archive function.

As an employer, am I obliged to check IDs for employment?

Is there a specific timeframe within which I must conduct the ID check for new employees?
While there isn’t always a strict timeframe, it’s generally recommended to conduct the ID check as soon as possible before hiring a new employee. This helps ensure that the employee’s identity and eligibility to work are verified, thus reducing the risk of non-compliance with employment laws and regulations. Another thing to consider is that identity checks should be carried out as a standard check, or the remaining background checks may not be effective if the check is based on a false identity.
Which ID documents are valid in Sweden?
Passports and ID documents issued by the police are valid identity documents in Sweden. For non-Swedish citizens, employers must also check work permits or other relevant documentation provided by the Swedish Migration Agency to confirm the employee’s legal right to work in Sweden.
